What type of security is included in the package?

The software offers customizable form and function security which allows you to limit users to specific forms (full, read only, access denied and edit before transmit) or specific functions within the process i.e. printing, transmitting, importing, etc.

Does Convey provide technical support help?

Yes, the software comes with technical support. Our toll free help line , 800-373-8229, is answered by technicians during business hours who can help you with your questions. If the technician cannot answer the question on the phone, there is a 24 hour turnaround guarantee that you will receive an answer.

Is the system compatible with Windows Vista?

The software is fully compatible with Windows Vista, Windows XP and Windows 2000.

My help file isn’t working, what can I do?

Due to a Windows bug, some systems do not allow the help file to automatically open. If that is the case, you can open the help file by going to C:Convey/convey.chm.

I purchased a one user license, can I update to a network version?

Yes, you can easily update to a network version by contacting sales at 1099conveysales@convey.com or 866-922-1099

Data Entry

Are there any features in the software to speed the data entry process?

Yes, there are a number of features which allow you to input data with a minimum number of keystrokes. Our skip/dupe feature enables you to skip over fields or set default values, minimizing keystrokes for similar transactions.

Does the software allow me to assign an account number for each record?

Yes, the software can automatically generate account numbers.

Can I attach customized notes to each recipient or payer?

Yes, using the print notes feature, specific notes can be attached to each tax form, recipient or payer record. You can choose whether to print those notes or not.

Why won’t the system allow me to save my records?

For added safety, the software will not allow you to save records that are not compliant with the IRS. Recheck that you entered the correct information.

Can I modify existing records?

Yes. The audit trail also allows you to track when the change was made, by whom, etc.

Importing Data

What file formats does 1099 Convey Desktop Software accept?

You can import data from several file formats. The most common include standard text file (comma delimited, fixed length), IRS file format (transmittals), Excel, Dbase and Paradox.

Can I test my import before importing to the database?

Yes, the software enables you to test your import before importing all records to ensure that all fields are being correctly imported.

How does the software handle rejected records?

You can easily fix rejected records using the "edit rejects" button in the software either during the import test or after the records have been imported.

Is there a sample source file that I can reference?

Yes, the software comes with a sample comma delimited file, a fixed length file and an Excel file. They are located in the Convey folder at C:/Convey/SampleDB/Comma_delim.txt, Fixed_length.txt, sampledata.xls.

Reporting/Filing With The IRS

What IRS forms are supported by the software?

The software supports the following forms 1098, 1098-A, 1099-B, 1099-C, 1099-DIV, 1099-INT, 1099-MISC, 1099—OID, 1099-PATR, 1099-R, 1099-S, 5498, W-2, W-2G, W-9, 1099-SA, 5498-SA, 1099-LTC, 1098-E, 1098-T, 1099-G, 1042-S, 1099-Q, 5498-ESA, 1099-CAP, B-Notice.

Will the software handle new IRS changes?

Yes, the software is updated frequently to comply with IRS changes. Additionally, if you have an internet connection and your firewall doesn’t block updates, the software is automatically updated. If you cannot receive automatic updates, changes are posted to Convey’s website and are readily downloadable.

Can the software print to plain paper as well as preprinted laser forms?

Yes, the software can print to plain paper, preprinted continuous forms and preprinted laser forms.

Can I create custom reports using the software?

Yes, the 1099 Convey Desktop Software reporting module lets you define the reports you need or you can choose from one of our pre-defined reports. You can print reports by recipients, payers, forms or do a complete customized report.

Does the software support electronic filing with the IRS?

Yes, the software has electronic filing capabilities. Electronic filing will allow you to get feedback and acceptance from the IRS more quickly than conventional methods.

How can I be sure that my data will be accepted by the IRS?

You can send a test file to the IRS prior to filing your data to ensure the IRS will accept your files.
